Description
Directly reporting to the Managing Director (MD)

Duties and responsibilities:

Managing diaries & itineraries of MD and making appointments;
Managing staff attendance etc.
Preparing and distributing papers and documents; scanning & filing
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
Drafting letters and invoices
Maintaining project filing systems (soft & hard copy)
Answering the phone and answering queries
Maintain electronic and paper records ensuring information is organized and easily accessible
Monitor and order office stationery and pantry supplies
Photocopying and printing
Sending and follow up inquiries for suppliers and subcontractors
Conduct research and prepare presentations or reports as assigned
Using various computer packages - Word & Excel
Other secretarial jobs assigned by the superior.
